Core EDM

Core EDM in WinDIP Enterprise consists of general administration, including system design, configuration and security, document capture, document archival, document retrieval and primary client interfaces. These functions are provided by the core Administration, Capture, Retrieval and Server modules.

Capture provides the ability to seamlessly capture data within your organisation to be indexed, archived and subsequently retrieved.

WinDIP Enterprise can capture:

  • Any form of physical material that can be digitised, captured with devices as simple as desktop scanners & digital cameras or as complex as industrial bureau style scanners
  • Any form of electronic file, including faxes, whether or not they are saved to a current storage location
  • Directly from other applications such as accounts software, clinical software, CRM software and Microsoft Office maintaining full integrity, security and auditablility
  • Electronically drawn images
  • Emails either individually or directly from Microsoft Exchange, including all attachments, submitted without any access to the WinDIP Enterprise application maintaining full integrity, security and auditablility
  • Voice or video recorded directly within the application or externally and then submitted

Retrieval provides the ability to retrieve information of any form and provide it directly to the desktop either within the WinDIP Enterprise application or the e-WinDIP web interface.

WinDIP retrieval provides:

  • Intuitive, seamless retrieval of images, electronic files, emails, voice and video directly to the desktop using internal viewing controls or by passing the information to the native application
  • Searching based on indexes as defined for your organisation, content, original file information and captured date
  • Full information and history about the data being retrieved including all events that have taken place with the data, original filenames, captured date and user
  • Presentation of retrieval search results in four formats, secured and chosen at organisation, role or user level
  • The ability to apply four levels of security, including by user or role to the level of an individual piece of data
  • Enhanced administration functionality to allow for the management of previously captured data whilst maintaining full security controls and auditability
  • Full email and printing controls utilising standard Microsoft print processes and thus providing support for any device

The WinDIP Server is the backbone of the WinDIP system managing and supporting the system performing all the back end functions. Archiving is primary amongst these functions, automatically managing the duplicate archiving of captured data to any form of on-line or near-line storage medium, including removable disks and WORM (Write Once Read Many) devices.

The WinDIP Server is designed to:

  • Run across multiple physical or virtual servers for load balancing and to improve fault tolerance
  • Run a set of Windows services with an application back up to further enhance fault tolerance
  • Manage data encryption
  • Manage system functions
  • Automatically or manually index and archive emails
